Wedding photo QR code: how to make, place and announce it
This guide walks you through the steps before, during and after your wedding: prepare QR cards with a short upload instruction, test a printed copy and place cards at tables and by the guest book. Find tips for announcing the album to guests, sending a reminder after the party and saving photos while the event is active.
How does a wedding photo QR code work?
Create a wedding album and print its upload QR code on cards. Guests scan it with their phone camera, open the link in a browser and choose their photos. They need neither an app nor an account. New photos appear directly in the gallery unless you enable “Approve photos before publishing”. With that setting, guests only see new photos after you approve them.
Checklist
Before the wedding: prepare the album and cards
Test the path from the printed QR code to an uploaded photo before handing out cards.
- Create an event using the wedding template. We recommend Premiere for your wedding; check the plan comparison for its included features.
- Decide who should see the gallery. If you use PIN protection, share the PIN only with your guests and make it available alongside the card.
- Agree on how to handle photos: ask the people pictured before uploading photos of them. Tell guests who will have access to the album.
- Enable “Approve photos before publishing” in the event settings if you want to review each upload before other guests see it.
- Print the upload QR code from the sharing area. Put cards on the tables and a visible card by the entrance or guest book. Leave space around the code and test a printed copy with a phone.
During the wedding: invite guests to upload
A short explanation helps more than a QR code without a label.
- Write on the card: “Share your photos with us: scan the QR code, open the link, choose photos.” Explain the album at the reception or during dinner.
- Put cards where guests have a moment to stop: at the table, by the guest book or at the photo booth. Avoid placing the only code on a distant wall.
- Guests choose pictures on the upload page and upload in their browser. Check the internet connection if uploads fail; the card itself does not transfer photos.
- If approval is enabled, review new uploads in moderation. Approve suitable pictures and reject others. You can hide or delete photos that are already visible.
After the wedding: collect and save memories
Plan to save your photos while the album is active.
- Send the upload link to guests again so they can add photos they select later. Review pending uploads if you use approval.
- Look through the album together. Hide pictures that do not belong in the guest gallery, or delete them if the person pictured asks you to.
- With Premiere, download your photos as a ZIP while the event is active and save your own copy.
- Check the expiry date in your event. Downloads are blocked after expiry, so save your copy before the active period ends.
What the QR album handles
What EventDrop handles
- Collect photos through a browser upload link without an app installation or guest account.
- Protect access with a PIN and optionally show new photos in the guest gallery only after your approval.
- Let you manage the gallery and, with Premiere, download a ZIP during the active period.
What EventDrop doesn't handle
- Automatically transfer every photo from guests’ phones: guests choose what to upload.
- Obtain permission from the people pictured: agree on how to handle photos with your guests.
- Replace taking photos or saving your own copy: a QR code does not take pictures and is not a permanent archive.
Questions about your wedding photo QR code
Do wedding guests need an app or a login?
No. Guests scan the QR code, open the upload page in their browser and choose photos. They need neither an account nor an app to upload. If you set a PIN, they must enter it.
Where should we place the QR cards?
Place a card on each table and additional cards by the entrance, guest book or photo booth. Guests should be able to reach the code up close. Print a sample and test it under lighting similar to your venue.
Can guests see uploaded photos immediately?
By default, yes. If you enable “Approve photos before publishing” in the event settings, new guest uploads are initially hidden. They appear in the guest gallery only after your approval.
What should we explain about privacy?
Share the QR code and any PIN with your guest group. Explain who can view the album and ask guests to check with the people pictured before uploading. PIN protection controls access; it does not replace agreeing on how pictures may be used.
Which plan do we recommend for wedding photos?
We recommend Premiere for your wedding. You can manage the album with co-admins and save photos as a ZIP during the active period. Check the plan comparison for current limits and duration.
Can guests upload photos after the party?
Yes, while your event is active. Share the upload link again after the wedding. Save your photos before the event expires, as downloads are blocked after expiry.
