Give a birthday photo album made by friends and family
How to collect memories before the party, let every guest join in on the day and hand over the album afterwards – with honest limits on surprises, permissions and how long it stays online.
The short answer
A shared birthday album feels personal because friends and family contribute, instead of one person assembling the whole gift. Create the album with your account, collect favorite memories through the upload link before the party and set out a QR code on the day. Decide up front who pays, when the birthday person gets access and who saves the files before the album expires – it stays your event, with no ownership transfer and no gift card.

Before the party: collect memories
Whether it's a 30th, 40th, 50th or 60th: the best contributions come when people have time to dig out old photos.
- Agree on who creates and pays for the album – that person stays the host and receives the reminder emails.
- Pick a plan whose duration covers the collecting phase, the party and the weeks after; you'll see the expiry date in your dashboard once it's created.
- Test the upload link with a photo of your own before you send it.
- Send the upload link with a short, specific ask: a favorite photo, a shared memory or, from Spotlight, a short video message.
- Ask only for pictures people are allowed to share, and ask everyone explicitly not to tell the birthday person.
At the party: include everyone
On the day, new photos join the collection – voluntarily and with no effort for guests.
- Put the printed QR code on the gift or photo table so guests can upload their photos right there.
- Mention that joining in is optional and nobody needs an account or an app.
- Help older guests with their first photo, or have them send you their pictures and upload them yourself.
- Only put the QR code out once the surprise is revealed: anyone who scans it can also see the photos collected in advance.
After the party: review, hand over, save
The handover is digital and without tricks – no shared password, no forwarded sign-in link.
- Look through every contribution and hide anything that doesn't belong in the gift.
- If you like: create a short recap with music from selected photos, check the preview and then share the video.
- Give the birthday person the gallery link, or invite them as a co-admin with their own account if your plan allows it.
- Download all photos at once while the album is active (from Spotlight) and hand over the files however you like.
- Keep a permanent copy of the files somewhere else – the album itself is only online for the duration you chose.

What EventDrop doesn't handle
- No gift card and no transfer of the album to the birthday person.
- No photo book to order – the album is digital.
- No permanent online gallery: after expiry the album is deleted 30 days later.
- No timed reveal and no hiding individual photos from one person – anyone with access sees everything that's visible.
Who does what in the album?
Four roles matter for a gift album. Whoever creates the album is the host – and stays the host.
- Host (you)
- Creates the album with their own account, pays, receives the reminder emails, invites co-admins, sets a PIN and can extend or delete it. This role can't be transferred.
- Co-admin
- For example the birthday person or a co-organizer: moderates photos, downloads everything and can create a recap, but can't invite anyone, upgrade the plan, buy an extension or delete the album. Needs their own account.
- Helper
- Sees the gallery and uploads – for example someone contributing lots of old photos. A helper can only hide photos if you allow it. Helpers are available from Spotlight.
- Contributors and guests
- Open the link or QR code, upload photos and see the gallery while the album is active – no app, no account.
Frequently asked questions
Can I organize an album for someone else?
Yes. You create the album with your own account, pay for it and remain the host. Later you give the birthday person the gallery link or invite them as a co-admin, if your plan includes co-admins.
Can it be a surprise?
Yes, if you send the upload link only to contributors and deliberately give the birthday person access later. There's no timed reveal, and anyone who forwards the link can spoil the surprise.
Do contributors need an account?
No. Anyone with the link or QR code uploads directly in their browser, with no app and no account. Only co-admins need their own account.
Can people add older photos or short videos?
Yes, old pictures from a phone or computer can be uploaded, and short videos from Spotlight. Location data is stripped from JPEG, PNG, WebP and HEIC photos on upload (GIFs and videos stay unchanged).
Who can download everything?
You and your co-admins can download all photos at once from Spotlight while the album is active. Guests can view photos and, from Spotlight, save them to their phone, but they don't get a ZIP download.
How long does access last?
For the duration of your plan; paid events can be extended. After expiry only you and your co-admins can still see the album, downloads are no longer possible, and it's deleted 30 days later.
Is this a printed photo book?
No, the album is digital and you can't order a photo book from EventDrop. You can have the downloaded files printed yourself, though.
Can I buy a gift card or transfer ownership?
No, EventDrop doesn't currently offer either. You stay the host and give the birthday person the gallery link or invite them as a co-admin – a card you design yourself makes a nice handover, but it isn't a gift card.
